Waive late and undertime for employees who complete their required paid hours
A Minimum Hours Deduction Waiver policy rule removes late and undertime deductions for employees who clock enough paid hours in a day, regardless of when they arrive. Their original fixed schedule stays intact for leave accrual and reporting.

When to use this
Use a Minimum Hours Deduction Waiver for employees whose working day is measured by hours rendered, not clock-in time:
- Supervisors and managers on flexible attendance.
- Field roles whose shift start depends on the day's assignment.
- Senior individual contributors on an output-based arrangement.
The alternative — moving the employee to a flex (rolling) schedule — removes the fixed schedule entirely, which breaks leave accrual math and planner views for admins who still need to see the nominal shift. The waiver keeps the schedule and only disables the deduction.
Create the rule
Go to Settings → Policies → Policy Rules and select New rule.
- Policy type: choose Minimum Hours Deduction Waiver from the picker. The rule's structured editor appears.
- Rule name: describe who the rule applies to, for example Supervisor flex-hours (8h paid = no deduction).
- Minimum paid hours: enter the threshold. For an 8-hour workday with a 1-hour unpaid break, enter
8. - Match criteria: choose how the rule finds employees.
- Job Level matches by rank. Enter the level code (
SUPV,MGR,EXEC) from your Job Levels list. This is the clean choice when you want every supervisor to flex, now and in the future. - Employee IDs matches a specific list. Paste the GUIDs separated by commas. Choose this when the arrangement is per-person and will not scale.
- Policy Group matches a managed group from Settings → Policies → Policy Groups. Use this when you want to review the list of covered employees in one place later.
- Job Level matches by rank. Enter the level code (
- Priority: leave at
100unless you already have another rule of the same type with a higher value. - Active immediately: keep ticked.
- Select Save rule.
Verify the rule is working
- Open Settings → Policies → Simulator and select Try this rule from the row action to prefill the policy type.
- Run a scenario where the employee clocks in late (say 10:30 AM against a 9:00 AM shift) but stays long enough to hit the threshold. The audit panel should show the waiver fired and the day's late and undertime are both zero.
- Open any affected employee's attendance for a prior day and recalculate. Days where the paid hours cleared the threshold flip from
LateorUndertimetoPresent.
Day-by-day behaviour
| Day | Clock-in | Clock-out | Paid hours | Status before | Status after |
|---|---|---|---|---|---|
| Mon | 09:46 | 18:52 | 8.1 | Late 46m | Present |
| Tue | 09:53 | 19:27 | 8.6 | Late 53m | Present |
| Wed | 09:07 | 19:04 | 9.0 | Late 7m | Present |
| Thu | 10:08 | 19:15 | 8.1 | Late 68m | Present |
| Fri | 09:44 | 18:14 | 7.5 | Late 44m | Late 44m (threshold not met) |
The rule is working as designed on the fifth day too: the employee only rendered 7.5 paid hours, below the 8-hour threshold, so the deduction stays. The waiver is not a free pass — it rewards the hours-rendered contract.

Questions people ask
Does the waiver change the employee's work schedule?
No. The fixed schedule stays exactly as it was. Leave accrual, reporting and planner views all continue to use the original schedule. The waiver only suppresses the late and undertime deduction on days the paid-hours threshold is met.
What counts as paid hours?
Clock-in to clock-out, minus any auto-deducted unpaid break. If break is paid or there is no auto-deduct, the gross span counts.
Does the waiver fire on half-day or absent days?
No. Days classified as HalfDay or Absent keep their normal deductions. The waiver only runs when the employee is marked Present and would otherwise have late or undertime minutes.
Can I target a job level instead of specific employees?
Yes. Set the match criteria to JobLevelCode equal to SUPV, MGR, or whichever rank you use. The context now carries JobLevelCode from the employee's contract or inherited from their position.
How quickly does a new rule take effect?
Within five minutes. The policy engine caches rules per tenant for five minutes; new attendance calculations after that pick up the rule. Restart the web app if you need instant effect.
