Edit personal and government information

  1. Open People, then Employees, and search for the employee.
  2. Select the employee to open the record.
  3. Select Actions, then Edit Employee.
  4. Change the fields in the section you need: Personal Information, Contact Information, Organization Details, Government & Compliance or Bank Information (for Payroll).
  5. Select Save.

Changes take effect immediately. The old value is kept in the audit log. Documents go in the Files tab of the record, under Employee 201 Documents.

Change position, job level or cost center

These are set on the employee's contract. Open the Contract tab of the record, open the current contract and select Edit Contract. Organization Details holds the position, job level, employee type and cost center. The contract's Version History lists its versions.

Change the work schedule

Open the active contract and select Edit Contract, then update the work schedule. If the change affects past attendance records that were already computed, see recalculate attendance after a schedule or policy change.

Change the salary

Salary is part of the contract, not the employee edit form. Open the active contract and select Edit Contract. See set up an employment contract.

Audit log

Changes to employee records and contracts are logged. Open Reports, then Audit Logs, and filter by Entity Type. See view the audit log.

Questions people ask

Can employees update their own information?

Employees can submit an information change request through the Employee Portal. HR reviews and approves the change before it is applied to the record.

What if I need to change the work email?

The work email is the login. Change it on the employee record and the employee receives a new login link at the updated address.

Can I see who last changed a field?

Yes. Open Reports, then Audit Logs, and filter the Entity Type to Employee or Contract. Each entry shows who made the change, when, and the old and new values. See view the audit log.

Can a separated employee's record be edited?

Only by HR with the correct permission. Separated employees stay in the system for history and compliance but cannot be included in payroll.
