HRIS and payroll for BPO companies with 24/7 shifting schedules in the Philippines

A Philippine HRIS and payroll platform built for BPO operations running 24/7 shifts, with cross-midnight attendance splits, night differential stacking, and weekly shift planning.

Payroll complexity that BPO operations deal with

BPO payroll is harder than most industries because it combines:

  • 24/7 shift coverage across multiple time zones and client accounts
  • Night differential on nearly every hour worked between 10 PM and 6 AM
  • Overtime that stacks with holiday and rest-day premiums on an hour-by-hour basis
  • High attrition, meaning final pay runs happen frequently with 30-day DOLE deadlines
  • Per-client cost allocation for billing proof
  • Compressed workweek compliance when the account uses that arrangement

Generic payroll software handles one or two of these. OneHRIS was built to handle all of them in one pay run.

How OneHRIS computes a BPO graveyard shift

Take a common scenario: an agent works 10 PM Monday to 7 AM Tuesday on an ordinary workday, 9 hours (8 regular + 1 overtime). Base hourly rate ₱86.50 (2026 NCR minimum).

Segment Hours Rate math Rate Pay
10 PM - 12 AM Mon (regular hours, in NDF window) 2 86.50 × 1.10 ₱95.15 ₱190.30
12 AM - 6 AM Tue (regular hours, in NDF window) 6 86.50 × 1.10 ₱95.15 ₱570.90
6 AM - 7 AM Tue (overtime, outside NDF window) 1 86.50 × 1.25 ₱108.13 ₱108.13
Total shift pay 9 ₱869.33

OneHRIS calculates all three segments automatically and shows each line on the payslip. See how night differential is computed and how overtime pay is computed for the underlying rules.

Where BPO payroll gets expensive without the right system

Three common sources of silent money leakage:

  1. Night differential not stacking correctly on holiday hours. A graveyard shift that lands on a regular holiday should pay 200 percent × 110 percent = 220 percent of the regular rate per hour. If the system applies night differential to the base rate instead of the holiday rate, every agent is underpaid by 20 percent on those hours, which is a wage claim risk.
  2. Overtime approval gaps. Agents work "a few extra minutes" after the scheduled shift as a matter of client coverage. Without a bulk approval workflow, every one of those blocks is either underpaid (team lead forgot to file) or over-approved (defensive paper trail). OneHRIS requires an approved overtime request before adding hours, with bulk approval for scheduled blocks.
  3. Final pay missing the 30-day deadline. With BPO attrition averaging 25 to 40 percent per year, late final pay runs expose the employer to DOLE complaints and NLRC claims. OneHRIS computes final pay the day the separation is marked, including prorated 13th month pay and unused SIL cash conversion.

What a BPO rollout typically looks like

For a 200-agent BPO operation, OneHRIS deployment typically runs 4 to 6 weeks:

  • Week 1: Employee master import, shift template setup, cost center configuration.
  • Week 2: Attendance integration (biometric or mobile), parallel attendance capture for one week.
  • Week 3: Parallel payroll for one cycle, reconciled line by line against the current system.
  • Week 4: Cutover. Government reports and bank files generated from OneHRIS for the next cycle.

Compliance checklist for BPO payroll

  • Night differential applied per-hour at 10 percent of that hour's rate
  • Overtime 125 percent on ordinary days, 130 percent on rest days and holidays
  • Holiday premium correct on the specific calendar date each hour falls on
  • 13th month pay prorated based on actual earnings including night differential
  • Final pay released within 30 days of separation
  • SSS WISP split correctly on contribution reports
  • Alphalist 1604-C annual return and BIR 2316 per-employee generated

OneHRIS covers each of these natively.

Try it against your own payroll

The best way to validate fit is to run OneHRIS against two of your own pay periods. The onboarding team provides CSV templates, imports your employee master and shift data, processes the parallel payroll, and reconciles line by line against your current system before anything goes live.

Questions people ask

How does OneHRIS handle 24/7 BPO shifts?

OneHRIS tracks shifts across midnight by splitting hours at the day boundary. Each resulting segment is evaluated against the calendar date for its own holiday type, rest-day status, and night differential eligibility. A 10 PM to 7 AM shift that starts on a regular workday and ends on a regular holiday is paid correctly without manual adjustment.

Does OneHRIS stack night differential with overtime and holiday pay?

Yes. Night differential (10 percent of the hourly rate for hours worked between 10 PM and 6 AM) is applied to whatever hourly rate already applies to that hour: regular, overtime (125 percent), rest-day (130 percent), regular holiday (200 percent), or any combination. The stacking happens automatically and is reflected on the payslip line by line.

Can OneHRIS handle multiple shift patterns for different teams?

Yes. BPO operations often run morning, graveyard, flexible, and client-aligned shifts simultaneously. OneHRIS supports multiple shift templates per department, assigning each employee to the pattern that matches their account. The weekly planner shows the full roster in one view.

What about pre-approved overtime for BPO night shifts?

OneHRIS requires an approved overtime request before hours are added to payroll. For predictable night-shift overtime, team leads can submit bulk overtime requests covering a scheduled block. Unapproved overtime beyond the scheduled shift is flagged for review before payment.

Does OneHRIS support the compressed workweek some BPOs use?

Yes. OneHRIS handles the compressed workweek arrangement DOLE allows, where employees work 10 to 12 hours per day across 4 days instead of 8 hours across 5 days, without triggering overtime for the extra daily hours. The compliance validation is built in.

How does OneHRIS handle schedule changes for a BPO account that moves to a different time zone?

Changes to shift templates propagate to the attendance engine and recalculate affected pay periods automatically. OneHRIS also provides a 'recalculate attendance' tool for after-the-fact adjustments if a client contract or shift pattern changes mid-cycle.

Does OneHRIS integrate with biometric and time-tracking hardware common in BPOs?

Yes. OneHRIS integrates with ZKTeco and selected IP-based biometric devices. For agents working from home or on hybrid schedules, mobile face-recognition clock-in with GPS tagging is available on Android and iOS.

What about per-client or per-account cost allocation?

OneHRIS supports cost center tagging on each employee and each shift segment. Payroll reports can be generated per cost center, per client account, or per project. This is important for BPO billing to clients where you need to prove headcount hours by account.

Does OneHRIS handle agent attrition well?

BPO attrition rates are among the highest in the Philippine labor market. OneHRIS automates final pay computation including prorated 13th month pay, unused service incentive leave cash conversion, and loan deduction, all released within the 30-day DOLE deadline under Labor Advisory No. 06-2020.
